This Privacy Policy explains what personal information Kickball Hub ("Kickball Hub," "we," or "us") collects, how we use it, who we share it with, and the privacy choices and rights you may have. We aim to describe our practices in plain language so they match how Kickball Hub actually works.

1. Information Kickball Hub Collects

You provide some information directly, and some is collected automatically when you use the site:

  • Account email: Your email address is used to verify your identity and provide access through a one-time password (OTP). Authentication emails are separate from optional marketing emails.
  • Profile information: Names, nicknames, pronouns, contact details, and other details you voluntarily add to your player or captain profile.
  • Team and league content: Team names, rosters, player information, captain and league manager information, schedules, events, RSVPs, games, scores, statistics, and related information that users enter or manage.
  • User-generated content (UGC): Photos, team logos, team names, league names, comments, and other content users upload or post.
  • Technical information: Device type, browser, IP address, approximate location derived from IP address where collected, referring page, pages visited, and similar site-activity information.

2. Cookies, Local Storage, Pixels, and Similar Technologies

Kickball Hub uses cookies, local storage, and similar technologies to keep the site working, remember your session, understand how the site is used, and measure advertising. These fall into three categories you can control from Privacy Choices:

  • Essential: Required for authentication, security, OTP login, session management, and core app functionality. These are always active and do not include advertising or optional analytics.
  • Analytics (optional): Google Analytics helps us understand how people use Kickball Hub so we can improve the site. Where prior consent is required, Analytics stays off until you turn it on.
  • Advertising (optional): Meta Pixel helps Kickball Hub measure advertising performance and may allow Meta to receive information about activity on the site for advertising and measurement purposes. Where prior consent is required, Meta Pixel stays off until you turn it on.

3. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve Kickball Hub, including verifying your identity, managing teams and rosters, schedules, RSVPs, lineups, fielding, scores, and statistics.
  • Send transactional and service communications necessary to operate your account, such as OTP codes and security notices.
  • Send optional emails about games, practices, events, socials, and Kickball Hub news if you have opted in.
  • Understand site usage through analytics and measure advertising performance.
  • Detect, prevent, and address security issues, abuse, and violations of our Terms of Service.

4. How Information May Be Disclosed

We do not sell your personal information. We may share information with:

  • Service providers: Companies that help us operate Kickball Hub, such as hosting, email delivery, and payments (e.g., Stripe). These providers process information on our behalf and under appropriate agreements.
  • Analytics and advertising providers: Google (Google Analytics) and Meta (Meta Pixel), as described above. These providers may receive information such as IP address and site activity and have their own privacy practices.
  • Other users: Information you submit to a team or league (such as your name on a roster or RSVP) is visible to other members of that team or league as part of providing the service.

5. Data Retention

We keep personal information for as long as your account is active or as needed to provide the service, and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce agreements. You can request deletion of your account and associated information as described below. We may retain certain information where required by law or reasonably necessary for security and integrity purposes.

6. Account and Profile Deletion Requests

You can request deletion of your account, profile, or associated information. To submit a deletion request, use the contact method described in the "Submitting a Privacy Request" section below. We will review and respond to properly submitted requests in accordance with applicable law.

7. Marketing Email Preferences

Optional emails about games, practices, events, socials, team or league updates, and Kickball Hub news can be turned on or off from your profile's Email Settings. Transactional and service messages necessary to operate your account (such as OTP codes and security notices) are sent regardless of marketing preferences. Declining optional emails does not affect your ability to use Kickball Hub.

8. Submitting a Privacy Request

To submit a privacy request (access, deletion, correction, or opt-out), use one of these methods:

  • Use the "Share feedback" option in the FAQ or footer, and select it as a privacy request.
  • Email the contact listed on the site's contact or feedback mechanism with the subject "Privacy Request." A dedicated privacy contact email will be posted here once configured.

We will review properly submitted requests and respond as appropriate under applicable law. We may need to verify your identity before acting on a request.

9. California Privacy Rights

California residents may have certain rights under California privacy law, where applicable. Depending on the law and how Kickball Hub operates, these may include:

  • Right to know / access: Request the categories and specific pieces of personal information collected, and the categories of sources and purposes.
  • Right to request deletion: Ask that we delete your personal information, subject to certain exceptions.

Kickball Hub does not claim to "sell" personal information in the traditional sense. However, certain advertising technologies we may use, such as the Meta Pixel, can involve disclosure of information to third parties (such as Meta) that may qualify as "sharing" for cross-context behavioral advertising under applicable California law. You can disable advertising tracking at any time from Privacy Choices in the footer.

Global Privacy Control (GPC): Kickball Hub honors Global Privacy Control signals. When your browser sends a valid GPC opt-out signal, we treat it as an opt-out of advertising-related sale/sharing and disable Meta Pixel advertising tracking accordingly. GPC overrides any previously stored "Accept All" advertising preference.

10. GDPR / EEA / UK Privacy Rights

For users in the European Economic Area, the United Kingdom, or other regions with GDPR-style privacy laws, the lawful basis for processing depends on the activity and may include:

  • Performance of a contract: Providing the team and account management service you requested.
  • Legitimate interests: Operating and securing the service, preventing abuse, and improving Kickball Hub where those interests are not overridden by your rights.
  • Consent: For optional technologies such as certain analytics and advertising tracking, where you have a choice.
  • Legal obligations: Where we are required to process information to comply with law.

OTP authentication is required to provide the service and is not dependent on marketing or cookie consent. You may have the following rights, where applicable:

  • Access your personal data.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten").
  • Request restriction of processing.
  • Object to processing.
  • Receive your data in a portable format (data portability) where applicable.
  • Withdraw consent for processing that relies on consent (such as optional analytics/advertising), without affecting processing that is necessary to provide the service.
  • Lodge a complaint with your applicable supervisory authority.

If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will handle notifications in accordance with applicable law. We do not guarantee a specific notification timeframe beyond what the law requires.

11. Security

We take reasonable measures to protect personal information using appropriate technical and organizational safeguards. However, no system or method of transmission is completely secure, so we cannot guarantee absolute security. Authentication relies on email-based one-time passwords rather than stored passwords.

12. Children and Minimum Age

Kickball Hub is intended for use by adults who organize and participate in recreational kickball. The service is not directed to children under 16 (or the minimum age required in your jurisdiction). If you believe a minor has provided personal information to us, please contact us so we can review and take appropriate action.

13. User-Generated Content and Ownership

Users retain ownership of the content they upload, including team names, logos, photos, league names, and other materials. Kickball Hub does not claim ownership of user-submitted content. By submitting content, you grant Kickball Hub a limited, non-exclusive license to host, display, and use that content only as reasonably necessary to operate and provide the service. Users are responsible for ensuring they have the rights or permission to upload content. See our Terms of Service for more detail.

14. Changes to This Privacy Policy

We may update this Privacy Policy as Kickball Hub evolves. When we make material changes, we will update the "Last Updated" date and, where appropriate, notify users. Continued use after changes constitutes acceptance of the updated policy where permitted by law.
